Administrative Assistant
Reports to: Campaign Manager
Location: Austin, TX — hybrid, with some in-person event coverage throughout the city
Time Commitment: 12-15 hours
About the Role: The Administrative Assistant helps ensure the campaign stays organized and runs smoothly day-to-day; they are one of the most trusted members of the team. You'll work closely with the Campaign Manager and the Candidate, with a hand in nearly every part of the operation: the schedule, team meetings, deadlines, and daily outreach to keep things on track. When something needs an urgent response, you're one of the primary people who make sure it gets done.
This is a great fit for someone highly organized and dependable who wants a behind-the-scenes leadership role with real ownership and real access. You'll see firsthand how a campaign is run from the inside, work directly with the people steering it, and be relied on to keep everything together. It's ideal for someone organized, dependable, and eager to take initiative.
What you'll do
- Manage the candidate's calendar and meetings.
- Keep the campaign organized: track tasks, deadlines, and follow-ups across the team.
- Take notes in meetings and make sure action items get done.
- Help coordinate logistics for events and field operations.
- Assist with administrative paperwork, including campaign finance and donor tracking (with guidance).
- Step in to keep routine matters moving when the Campaign Manager is pulled in other directions.
What we're looking for
- Extremely organized, detail-oriented, and reliable — the team can count on you to follow through, no exceptions.
- Strong written and verbal communication.
- Comfortable juggling several moving parts and shifting priorities.
- Discretion and good judgment; you'll handle sensitive information.
- Self-starter who can take initiative without waiting to be asked.
- Familiarity with Google Drive.
- Familiarity with NGP VAN is a plus.
- Bilingual (English/Spanish or English/Vietnamese) is a plus.
- Connection to or genuine interest in District 1 and Austin's East Side communities is a strong plus.
